Keep printed cards current after menu changes
Use reprint reminders and a simple service check to replace old PDFs and paper copies after changes.
For: Owners, editors, and the team responsible for service copies
In this guide
Treat a printout as a saved copy
Dishcard recalculates affected dish information when you save ingredient or recipe changes. An existing printed card, downloaded PDF, or emailed attachment stays as it was. The QR link can lead to the updated web menu, but the paper beside it still needs replacing.
After a recorded print or PDF, later changes can produce Your printed card may be out of date. Select Review menu card to inspect the current output. You can also open Settings → Email preferences and look under Reprint reminders.
Use this reminder as an aid, not as proof that every copy in the restaurant is current. Someone may have downloaded a PDF without printing it, or opened and canceled the print dialog.

- Identify what changed: an ingredient label, supplier, recipe, dish variant, preparation note, or visible menu selection.
- Finish the affected ingredient reviews and check the resulting dishes. Do not print an incomplete row as though it were a cleared allergen assessment.
- Open Menu card and choose each menu that the change affects. Check its Updated timestamp and relevant dish rows.
- Generate a fresh Download PDF or select Print. Compare the finished copy with the current preview.
- Replace copies at the host stand, kitchen, service station, and any other place the team uses them. Retire old attachments from shared folders when they could be mistaken for the current record.
- Tell the team what changed and where the replacement is kept. If guests use the web menu, check the affected dish there too.

Dismiss for now in the banner, or the owner’s Dismiss reminder control in Email preferences, clears the reminder for the current changes. It does not print anything, check recipes, or mark individual dishes reviewed. Later changes can create another reminder.
If the reminder disappears after downloading a PDF, still complete the physical replacement check. If there is no pending reminder, compare timestamps and recent changes rather than assuming an older copy is valid.
The owner can enable Email a daily change digest to help active editors and viewers notice changes. Email availability and delivery must be checked separately. See notifications and activity for that workflow, and use a brief pre-service check as the final step.
